Information and purposes
When the online enquiry form is enabled, it asks for your name, email address, service of interest, and message. Phone number and company are optional. We use these details to understand your request, communicate with you, prepare a proposal where requested, and manage the resulting business relationship. Required fields are marked; without them the online form cannot be submitted. You may instead contact us by email or phone.
Responding to your enquiry and taking steps towards a possible agreement are the purposes of this collection. A form acknowledgement confirms that you have seen this notice; it is not permission for unrelated marketing. Please do not send passwords, banking details, identity documents, health information, or other sensitive information through the form.
How an enquiry is handled
The online enquiry form checks submissions on our server and passes accepted enquiries through our Axxess hosting and mail server for delivery to our company mailbox. Acceptance by the delivery service is not a guarantee of arrival in the mailbox; keep the reference shown after a successful submission.
The website database does not store the name, email address, phone number, company, or message entered in the form. It stores security-session identifiers, a submission fingerprint, request status, and rate-limit counters. These support fraud prevention, duplicate checks, and reliable processing. Enquiry content is processed by the email delivery service and by the providers supporting our company mailbox.
Providers and international processing
The website is hosted using OpenAI Sites and Cloudflare infrastructure. These services process network and access information to operate and protect the site. When the form is enabled, Axxess processes enquiry content through our hosting and company mailbox. Authorised personnel may access information needed to deal with your enquiry, and disclosures may also be required by law.
These providers may process information outside South Africa. Provider selection, access, and transfers must be supported by appropriate contractual and security arrangements, including POPIA’s requirements where applicable. Contact us before sharing sensitive information if you need details about the processing arrangements. We do not sell enquiry information or use this form to enrol you in marketing.
Cookies and browser storage
When the form is enabled, a secure, HTTP-only cookie supports its security checks and expires after up to 30 minutes. It uses partitioned browser storage so the form can work inside an embedded preview without sharing its session across unrelated websites. If the hosting platform requires you to sign in, that platform also handles its own sign-in cookies and account information.
The Lumi chatbot runs its matching logic in your browser. It keeps conversation state in session storage, with a 24-hour restoration window, and may keep preferences such as a name, company, interests, and visit history in local storage until you clear the site’s stored data. Use the chatbot’s reset control to reset the conversation, and your browser’s site-data settings to remove stored preferences. The chatbot does not submit an enquiry for you. If you choose voice input, your browser’s speech service may process audio under its own settings and privacy terms.
Pages request font files from Google Fonts, which involves requests to Google’s services. External social links open the relevant provider’s website, whose privacy practices then apply. We have not added advertising trackers to the website code.
Retention and security
Form security sessions expire after 30 minutes. Expired sessions and rate-limit counters older than one day are removed when the enabled form service next processes a session request; expiry does not mean immediate deletion during periods when the service is unused. Contact contents are not written to application logs or the website database by the form handler. Our Axxess handler keeps message fingerprints, reference IDs and delivery state for duplicate prevention. Receipts older than seven days are removed when a signed mail request next runs. Our mailbox password is held outside the public website folder on Axxess hosting.
Enquiries received by email are retained only for as long as needed for the enquiry, a resulting engagement, or applicable legal and recordkeeping requirements. Copies held by email and infrastructure providers follow their applicable retention and backup arrangements. We review access and retention needs rather than promising a single deletion period for every business record.
The form uses HTTPS, server-side input checks, security tokens, a hidden spam-trap field, and submission limits when enabled. These safeguards reduce risk; no website or email service can guarantee absolute security. Enquiry email is not end-to-end encrypted by this website. Contact us by phone to arrange a suitable channel for sensitive material.
Your choices and requests
You may ask what personal information we hold about you, request access or correction, request deletion where applicable, or object to processing where the law permits. Email info@luminousxtech.co.za with your request and enough context for us to locate the information. We may ask for proportionate verification before releasing or changing personal information. Do not send an identity document unless we have agreed a suitable method and explained why it is needed.

Changes to this notice
This notice applies to the website and website enquiries. A separate engagement may require additional privacy terms. We update this page when relevant processing arrangements change; the date above identifies this version.
